Gather pricing in 2026: what $12 to $15 per member means for teams of 10, 20, and 50
Gather’s Essential plan, the one with a listed price, costs $15 per member per month billed monthly, or $12 per member per month billed annually, before any applicable taxes, as of October 30, 2026 (official pricing page and help center). There has been no free plan since September 15, 2025. For a team of 10, that is $1,440 to $1,800 a year; for 20, $2,880 to $3,600; for 50, $7,200 to $9,000.
This article explains how Gather counts people, what the official announcement about the free plan said, what the 30-day trial includes, and what the bill comes to at 10, 20, and 50 members. The last section shows the same team sizes under a flat, per-space price, including Hotori‘s. Every Gather figure comes from Gather’s official pages, read on October 30, 2026; the links are in the Sources section.
What Gather charges, as of October 30, 2026
The pricing page lists two plans:
- Essential Plan: $12 per member per month billed yearly (the page’s default view, labeled “-20%”), or $15 per member per month billed monthly. The unit shown is “USD/month/member”.
- Custom Plan: priced by quote (“Contact Us”), aimed at larger teams, with regional pricing, single sign-on, and an extended trial.
The $15 monthly figure does not appear in the page’s default view. It is confirmed by the page’s own script, which shows 15 when “Monthly” is selected, and by two help center articles, one of which uses the worked example “$375 per month going forward (25 users x $15/month)”.
The pricing page says nothing about tax. Gather’s terms of service say the customer pays the listed fees “including any sales or value added taxes, if applicable”, so treat every figure here as before any applicable taxes.
Who counts as a member, and who does not
Gather 2.0 bills per member. The pricing page calls this a “member-based model” and says, “You pay for your team, not your guests.” The help center adds: “One seat = one member in your workspace,” and “The number of seats must be equal to or greater than the number of members in your workspace.”
Three practical points follow from that:
- Guests are not billed as members. Instead, the plan includes guest hours: “Get 3 guest hours per team member (minimum 30 hours)”, per the pricing page. A 10-member team gets the 30-hour minimum; a 20-member team gets 60.
- Seats cannot be fewer than members. To lower the bill, you remove people from the workspace, not just from the invoice. A leaver who still has an account still needs a seat.
- Concurrency is not the unit anymore. Gather 1.0 charged by concurrent users; the 2025 announcement says Gather 2.0 moved to a member-based model instead. How many people can be inside at the same time is not stated on the official page.
People you add later get a trial of their own: “New members are automatically enrolled in a 14-day free trial after being added,” according to the announcement.
What the free-plan announcement said
Gather’s help center article “Understanding Gather’s pricing changes (2025)” sets out the change under the heading “September 15th, 2025”. The sentence that matters is this one: “There will no longer be a free tier for Gather 1.0 or Gather 2.0.”
The same article gives the before-and-after numbers:
- Before: “$5.95/user/month, billed annually” for Gather 1.0, or “$7/user/month” billed monthly, through the end of 2025.
- After: “$15/user/month (monthly) or $12/user/month (annual).”
- Transition: annual customers who contacted support before September 15, 2025 could “lock in your current annual plan rate through September 2026”, and “The new rate of $15/user/month (billed monthly) will begin on your first renewal after January 1, 2026.”
Both transition dates are now behind us, so a team signing up today sees the current rates. That is the whole change as Gather describes it.
What the 30-day trial includes
The pricing page says, “Try Gather together, free for 30 days,” and “No credit card. No setup fees.” The Free Trial FAQs add that the trial gives “30 days of access for up to 50 members”. If you start a subscription, the help center says, “The first payment will be due at the end of your free trial.”
The FAQ lists what the trial includes: “20 guest hours to invite external collaborators”, “5 meeting transcription hours”, “3 meeting recording hours”, and “30 AI Search credits”. That FAQ was marked “Last updated 1 year ago” when we read it, so check the current page before you rely on those numbers.
If you do not upgrade: “If you choose not to upgrade, only one admin will be able to access the workspace at a time.” The workspace stays, but it stops being a shared office until someone pays.
What a team of 10, 20, and 50 pays per year
The table multiplies Gather’s published per-member prices by team size and by 12 months. It assumes everyone on the team is a registered member. Figures are in US dollars, before any applicable taxes.
| Registered members | Monthly billing at $15 | Annual billing at $12 | Saved by paying yearly |
|---|---|---|---|
| 10 | $150 a month, $1,800 a year | $120 a month, $1,440 a year | $360 |
| 20 | $300 a month, $3,600 a year | $240 a month, $2,880 a year | $720 |
| 50 | $750 a month, $9,000 a year | $600 a month, $7,200 a year | $1,800 |
Those prices include, according to the pricing page, meeting recordings (“Starting at 20 hours”), meeting transcriptions (“Starting at 30 hours”), and guest hosting (“Starting at 30 hours”). For recordings: “Get 2 additional hours per member once your team exceeds 10 people” and “Buy extra recording hours at $2 each”. For transcriptions: “Get 3 additional hours per member once your team exceeds 10 people” and “Buy extra transcription hours at $0.50 each”. The page does not say what period the recording and transcription hours cover.
One thing the table does not capture: members who rarely show up still count. A part-time contractor who logs in on Fridays is a full seat, and if 5 of your 20 members are occasional, those five cost $60 to $75 a month.
Four questions before you pick a plan
- How many members do you really have? Count accounts, not the people you think of as the team, and remove leavers before the renewal date.
- Monthly or yearly? Yearly is 20% less per member. If your headcount may fall during the year, ask Gather how seats are adjusted mid-term before you commit.
- How many guest hours will you use? Clients, candidates, and vendors do not need seats, but they draw on the guest-hour pool: 3 hours per member, with a 30-hour minimum.
- Will you record meetings? Recordings and transcriptions are part of what you pay for in Essential. If your team never records, you are paying for something you will not use. If it records a lot, price in the $2 and $0.50 add-on hours.
The same team sizes under a flat, per-space price
The other way to price a virtual office is per space: one fee for a floor that holds up to N people at the same time, with no charge for registering more members. You count who is inside right now, not who has an account. We compared the two models in Flat-rate vs per-seat pricing for a virtual office.
Hotori is priced that way. There is no limit on registered members; you choose how many people can be inside at once, and guests count only while they are inside. If more people turn up than the plan allows, up to 2 extra can still get in; after that, newcomers see a “full” message, and the owner can always enter.
| Plan | People inside at once | Monthly | Yearly |
|---|---|---|---|
| Standard | up to 25 | US$39 | US$390 |
| Business | up to 50 | US$69 | US$599 |
Prices are in US dollars for customers outside Japan, and the final amount is shown at checkout.
Set next to the Gather table, with yearly plans on both sides:
| Registered members | Gather Essential, annual billing | Hotori Standard, yearly | Hotori Business, yearly |
|---|---|---|---|
| 10 | $1,440 a year | US$390 a year | US$599 a year |
| 20 | $2,880 a year | US$390 a year | US$599 a year |
| 50 | $7,200 a year | not enough if all 50 are online at once | US$599 a year |
Three things keep that comparison honest:
- The columns count different things. Gather counts registered members. Hotori counts people inside at the same time. A 20-person team rarely has all 20 online at once, so the 25-person plan usually fits; if you often go over, pick the 50-person plan.
- Gather’s price includes recording, transcription, and guest hours. Hotori has no recording feature and does not save voice, video, or chat on its servers. If your team needs recordings, that is a real difference.
- Taxes and currency differ. Gather’s figures are before any applicable taxes. Hotori‘s prices are in US dollars for customers outside Japan, and the final amount is shown at checkout.
A few more facts about Hotori. It runs in the browser, with nothing to install. The trial is 30 days with no card, with everything in the paid plans and up to 50 people at once. Nothing is charged when it ends. The first 50 spaces on a paid plan keep the current price (before tax) for as long as their subscription continues. It is made in Tokyo by a small team, and the servers are in Japan, so voice works best in Japan, across Asia-Pacific, and on the West Coast of North America; it is not yet offered in the EU, the EEA, or the UK.
